Meet Rules & Guidance
Helping Everyone Enjoy Their Stay
We want everyone attending an Oxfordshire DA meet to have a safe, enjoyable and relaxing time.
As part of The Camping and Caravanning Club, Oxfordshire District Association operates its meets in accordance with the Club’s rules, guidance and requirements. These help ensure that meets are operated safely and responsibly, protect members and visitors, and respect the landowners and venues that welcome us.
Everyone attending an Oxfordshire DA meet is therefore asked to follow the relevant Camping and Caravanning Club rules and guidance, together with any additional site-specific instructions provided by the Steward.
Please take a few moments to familiarise yourself with the following before attending one of our meets.
Site Opening Times & Arrival
Please do not arrive before the advertised site opening time.
Our Steward must be the first person on site in order to comply with the requirements under which our meets operate and to ensure the site is ready to receive members safely.
Unless otherwise stated on the individual event listing, Oxfordshire DA meets open at 1:00pm on the first day and close at 1:00pm on the final day.
Please do not attempt to access the site, queue at the entrance or arrive early expecting to wait on site.
Your cooperation allows our Steward to prepare the site safely and helps us maintain good relationships with the landowners and venues that make our meets possible.
Registration & Membership Cards
Oxfordshire DA meets are for members of The Camping and Caravanning Club.
Please remember to bring your Camping and Caravanning Club Membership Card for registration.
On arrival, please report to the Steward, follow any directions given and complete the required registration process before pitching.
The 6 Metre Rule
For everyone's safety, all units must be pitched a minimum of 6 metres apart.
Maintaining appropriate spacing between units is particularly important for fire safety and access.
You are welcome to pitch further apart where space and site conditions permit. However, please be mindful of the available space and considerate of other members.
Please follow the Steward's instructions regarding the positioning of your unit.
5mph Speed Limit
The maximum speed on our sites is 5mph – walking pace.
Please drive slowly and carefully at all times.
Camping areas are shared spaces where adults, children and pets may be moving between units. Keeping your speed to walking pace helps keep everyone safe while also reducing noise, dust and unnecessary damage to the site.
All Quiet – 23:00 to 07:00
To allow everyone to enjoy a peaceful night's sleep, the site must be kept quiet between 23:00 and 07:00.
Please keep voices, televisions, radios, music and other noise to a minimum, particularly during the evening and early morning.
There should be no vehicle movement during the All Quiet period, except where genuinely necessary or in an emergency.
Please remember that sound can travel particularly easily across a quiet campsite, so consideration for neighbouring campers is greatly appreciated.
Children & Young People
Children and young people are very welcome at our meets, and we want them to be able to enjoy the freedom and experience of camping.
Parents, guardians and responsible adults should ensure that children in their care are appropriately supervised and understand the importance of respecting other campers, their pitches and equipment.
Particular care should be taken around moving vehicles, roads and access routes, water points, waste-disposal facilities and other site infrastructure.
Pets
Pets are very welcome at our meets, and we ask everyone to help ensure they remain safe and comfortable while also respecting other campers.
All pets must be kept on a lead at all times unless safely contained within your own unit.
Please:
clean up after your pet immediately and dispose of waste appropriately;
keep pets under proper control around other people and animals;
ensure pets do not cause excessive or persistent disturbance to other campers; and
never take pets, including dogs, to drinking-water points.
Please also be particularly mindful of your pet's welfare during hot weather and other extreme conditions.
Fire Safety
Fire safety is extremely important on any camping site.
Every unit should have a clearly marked, filled bucket of water positioned outside and readily available.
Open flames are not permitted on site.
This includes:
campfires;
fire pits;
candles; and
other open fires.
Disposable BBQs must be safely raised off the ground and must never be placed directly onto grass or another surface where they could cause scorching or create a fire risk.
Barbecues and other permitted cooking equipment should always be used responsibly and with consideration for neighbouring units.
The required spacing between units must be maintained at all times.
Drinking Water
Fresh drinking-water points will be clearly identified on site.
Please help us keep the drinking-water supply clean and safe by maintaining good hygiene around the water point.
Chemical toilet equipment, toilet cassettes and other potentially contaminated equipment must never be taken to, rinsed or emptied at a drinking-water point.
Please use only the designated facilities for these purposes.
Chemical Toilet Waste & Elsan Points
Where provided, the Elsan or chemical toilet disposal point will be clearly identified.
All chemical toilet waste must be disposed of using the designated facility.
Please leave the disposal area clean and tidy after use and report any problems with the facilities to the Steward.
Chemical toilet waste must never be emptied anywhere other than at the designated disposal point.
Refuse & Recycling
Unless otherwise stated, please take all refuse home with you for disposal.
Before leaving, please ensure that your pitch is clean and tidy and that no litter, food waste or other items have been left behind.
Where designated refuse or recycling facilities are provided at a Temporary Holiday Site or other event, these will be clearly identified.
Please use only the facilities provided for the event and follow any waste or recycling instructions displayed.
Please leave the site as we found it – or better.
Generators
Generators may only be used for short periods and with the prior agreement of the Steward.
Generator use is limited to:
between 10:00 and 19:00;
no more than two hours at a time; and
with the prior agreement of the Steward.
Please position and operate generators with consideration for neighbouring units and keep noise and disturbance to an absolute minimum.
Drones
Drones must not be flown on site.
This helps protect the safety, privacy and enjoyment of members, visitors, neighbouring properties and landowners.
Please keep drones grounded while attending an Oxfordshire DA meet.
Vehicles & Parking
Please follow the Steward's instructions regarding vehicle positioning and any designated parking arrangements.
Once pitched, unnecessary vehicle movements around the camping area should be avoided.
Whenever a vehicle needs to move on site, the 5mph walking-pace speed limit applies at all times.
There should be no routine vehicle movement during the 23:00 to 07:00 All Quiet period.
Respecting the Site
We are fortunate to be welcomed onto a variety of venues, fields and private land throughout the year.
Please treat every site with care and respect.
Avoid unnecessary damage to grass and other surfaces, follow any site-specific instructions and do not interfere with fences, gates, livestock, crops, buildings or landowner equipment.
Please also respect neighbouring properties, residents and the wider local community.
The way we look after a site and conduct ourselves as campers helps maintain good relationships with our hosts and can influence whether venues are able to welcome us back in the future.
Visitors
If you are expecting visitors while attending a meet, please speak to the Steward.
Visitors must follow the same relevant site rules and guidance as those attending the meet and must not obstruct entrances, access routes or neighbouring pitches.
Additional restrictions may apply at individual venues depending on the requirements of the landowner or site.
Site-Specific Instructions
Every venue is different.
Individual meets may therefore have additional requirements or restrictions because of the venue, landowner, site conditions or nature of the event.
These may be included on the event page, displayed on site or communicated to you by the Steward.
Please follow any additional site-specific instructions provided.
Our Stewards
Our meets rely on volunteers giving their time to Steward on behalf of Oxfordshire DA.
The Steward is responsible for managing the meet on site and helping ensure that it is operated safely and in accordance with Camping and Caravanning Club requirements, together with any conditions applicable to the individual venue.
Please follow reasonable instructions given by the Steward relating to pitching, vehicle movement, site facilities, safety and the operation of the meet.
If you have a question, concern or require assistance during your stay, please speak to the Steward.
Before You Leave
Before departing, please:
check that your pitch is clean and tidy;
take your rubbish home unless designated disposal facilities are provided;
check carefully for tent pegs, guy-line equipment and other items that could be left behind;
dispose of chemical toilet waste only at the designated point;
follow any departure instructions provided by the Steward; and
ensure that you leave the site by the advertised closing time.
We want our landowners and venues to be as pleased to have hosted Oxfordshire DA as we were to have stayed.
